Finding a Property
Our staff are specially trained and equipped to assist tenants to find properties to rent that will meet their needs. We maintain a database of properties to rent and of prospective tenants and their requirements. As properties become available, our first action is to contact waiting Tenants on the database, who’s requirements match the property. Typically properties to rent become available 2 months before occupancy date, so where possible it is advisable to start looking early.
Having identified a potentially suitable property, we will arrange a viewing. This will be at a time to suit you, and could be at evenings or weekends, subject of course to the Landlords permission. All viewings will be accompanied by a member of staff, who will be able to provide immediate advice and answer any questions you may have.
Having decided on a property you wish to rent, you will need to complete an application form. At this time any details or requirements can be provisionally agreed, such as occupancy date, duration of tenancy etc.
Once an application is completed we pass your details to our management partner Ash Residential Property Management (ARPM). ARPM will then take references on behalf of the landlord. Normally these will include your employer, any formal landlord and a character reference. In addition a credit check will be undertaken.
The cost of these are as follows:

Where a tenant is unable to meet the required income or credit checks, the tenant may have a Guarantor agree to underwrite any rent liabilities, subject to satisfactory references.
Rents are normally quoted on a calendar month basis. In addition, the Tenant is usually responsible for Council Tax, Water Rates, Gas, Electricity and Telephone Costs.
Rents are payable by standing order (unless alternative arrangements are agreed in advance) to ARPM/landlord monthly in advance, with the first months rent due before taking occupation of the premises.
A deposit will be required prior to occupation. This is normally equal to one months rent, but may be more e.g. Equal to 6 weeks rent if required by an individual landlord. Where ARPM are managing the property a deposit will be held by ARPM or by the landlord if such a landlord has a government authorised deposit scheme account. The deposit is held to cover any breakages damage, rent arrears or other tenant liabilities. At the end of a tenancy the landlord/ARPM will check the property in the presence of the tenant and assess any damages and deductions due. Please note that the deposit cannot be used by the tenant to cover rent.

A Tailored Service
Outlined below are the two basic elements of our service. However, we maintain a flexible attitude and are generally able to adapt our service to meet our clients individual circumstances and needs, for example by providing a part only service or occasionally by taking on additional tasks and duties.
This is our inclusive service, which provides for the marketing of the property and carrying out viewings, leading to the introduction and vetting of prospective Tenant/s. This proving satisfactory, we will then go ahead and prepare the tenancy agreement, and if required an inventory. The tenant/s will then be checked in against the inventory.
During the tenancy we carry our periodic inspection visits. Should these bring to light any maintenance issues, we will (within the confines of our Management Agreement) recommend, oversee and account for any necessary repairs.
Collecting and processing of rental payments is also part of the service. These will be credited automatically to the Landlords nominated bank account.
Towards the end of the tenancy, we will liaise with the tenant and renew, the tenancy agreement or arrange to check them out as applicable.
This service is suitable for those Landlords who are not residing locally, or would rather not deal with the Tenants directly, preferring all aspects to be handled by an agent.
Our Letting Only Services include the marketing of the property and carry our viewings, leading to the introduction and vetting of a prospective Tenant. This proving satisfactory, we will then go ahead and prepare the tenancy agreement, and if required an inventory.
Following this, the first month's rent will be collected and credited to the Landlord less our agreed fee. Managing the tenancy, including the maintenance and rent collection, will then be the responsibility of the Landlord.
Please note both full management and letting only service do not include guaranteed rental and legal expenses, insurance cover and we would recommend landlords consider these options before entering into a formal assured shorthold tenancy agreement.
